This Privacy Policy explains how HostPass LLC("HostPass," "we," "us") collects, uses, shares, and protects personal information when you use the HostPass website, mobile app, and related services (the "Service"). HostPass is a hospitality referrals platform: referrers send guests to venues, venues accept and check in those guests, and referrers earn payouts.
1. Information we collect
Information you provide
- Account information — your name, email address, and role (referrer, venue owner, or venue employee). Sign-in is handled by our authentication provider, Clerk.
- Referrer profile — your role type (e.g., concierge, driver, bartender/server) and the company or organization you refer from.
- Venue information — for venue accounts: venue name, address, type, photos, incentive amounts, and schedules.
- Guest referral information — when a referrer submits a referral, we collect information about the referred guest, which may include the guest's name, party size, and contact details (phone and/or email) provided by the referrer. See "Guest information" below.
- Payment and payout information — to send or receive money, our payments provider, Stripe, collects and verifies identity and financial information (such as legal name, date of birth, tax identifiers, and bank account details) directly. HostPass does not store full bank or card numbers.
- Communications — messages you send us and preferences you set.
Information collected automatically
- Usage and device data — IP address, device and browser type, and interactions with the Service.
- Diagnostics — error and performance data (via Sentry) to keep the Service reliable.
2. Guest information
Referrers submit information about third-party guests. If you are a referrer, you represent that you have the right and any necessary permission to share a guest's information with HostPass and the venue for the purpose of the referral. We use guest information only to facilitate and verify the referral (including sharing it with the destination venue) and to support payouts and fraud prevention. A guest may request that we delete their information using the contact details below.
Consent. Before a referral can be submitted, the referrer must confirm in the app that they have the guest's permission to share these details with the destination venue. We record that confirmation with the referral.
What we ask for.Only a guest's name and party size are needed to send a referral. A phone number, email address, and notes are optional and are used solely to help the venue receive the guest.
Who can see it.A guest's details are visible only to the referrer who submitted the referral, the destination venue, and HostPass staff for support and fraud review. They are never sold, and never shared with other venues or referrers.
How long we keep it.Guest contact details (phone, email, and notes) are retained only as long as needed for the referral and any related payout, dispute, or fraud review, and are then removed from the referral record. The referral itself — the venue, date, party size, status, and payout — is retained for the accounting and tax purposes described in "Data retention" below.
3. How we use information
- Provide, operate, and improve the Service.
- Process referrals, check-ins, and payouts, and maintain related records.
- Verify identity and prevent, detect, and investigate fraud or abuse (including risk signals such as unusual referral patterns).
- Communicate with you about your account, referrals, payouts, and updates.
- Comply with legal, tax, and regulatory obligations.
4. How we share information
We share personal information only as described here:
- With venues and referrers — a referral's details are shared with the destination venue; venues and referrers see the information necessary to manage and get credit for a referral.
- Service providers — we use trusted vendors to run the Service, including Stripe (payments/payouts and identity verification), Clerk (authentication), Supabase (database and file storage), Brevo (transactional email), and Sentry (error monitoring). These providers process data on our behalf under their own terms and privacy policies.
- Legal and safety — when required by law, to enforce our Terms, or to protect the rights, safety, and property of HostPass, our users, or others.
- Business transfers — in connection with a merger, acquisition, or sale of assets.
We do not sell personal information.
5. Payments
Payments and payouts are processed by Stripe. When you set up payouts or fund a venue, you interact with Stripe directly, and Stripe's handling of your information is governed by the Stripe Privacy Policy. Stripe may be required to collect tax information and issue tax forms for payouts.
6. Data retention
We keep personal information for as long as your account is active and as needed to provide the Service, and thereafter as required to comply with legal, tax, accounting, and fraud-prevention obligations or to resolve disputes. We may retain de-identified or aggregated data indefinitely.
7. Security
We use administrative, technical, and organizational measures designed to protect personal information, including encryption in transit, access controls, and reputable infrastructure providers. No method of transmission or storage is perfectly secure, and we cannot guarantee absolute security.
8. Your choices and rights
Depending on where you live, you may have rights to access, correct, delete, or receive a copy of your personal information, or to object to or restrict certain processing. You can update much of your profile in the app, and you may contact us to exercise other rights. We will respond consistent with applicable law. You may also unsubscribe from non-essential emails using the link in those messages.
9. Children
The Service is intended for adults and is not directed to individuals under 18 (and certain features relating to nightlife venues may require users to be 21 or older). We do not knowingly collect personal information from children.
10. International users
HostPass is operated from the United States, and information is processed and stored there. If you access the Service from outside the U.S., you understand your information will be transferred to and processed in the U.S.
11. Changes to this policy
We may update this Privacy Policy from time to time. If we make material changes, we will update the "Last updated" date and, where appropriate, provide additional notice.
